Direct answer
The short answer
Using an illustrative $28-per-person food menu, LunchLink’s 50-person staffed corporate buffet example is $2,736 before HST at a furnished venue, or $3,242 with guest tables, chairs and linens. Both include the example crew hours, buffet equipment, optional basic disposables, transport and coordination. Actual menu, venue and service scope determine the final quote.
At a glance
Key takeaways
- Separate food from paid crew hours, equipment and logistics.
- Venue-provided furniture can reduce rental requirements.
- Compare final event totals with the same guest count and paid hours.
Start with the complete event scope
A menu priced per guest usually does not establish the total for a staffed event. Write the guest count, selected food, paid staff hours, buffet equipment, venue furniture and collection plan beside the budget.
For a year-end office celebration, indoor furnished venues are often simpler to scope. Ask about guest seating and buffet tables before renting duplicate items. Outdoor tents require site review; heating, flooring, power and installation must not be guessed from a food price.
Compare three like-for-like scenarios
These examples use $28 food, six paid hours per crew member, buffet equipment and optional $0.50-per-guest basic disposables. At 50 guests, the crew is two servers plus one lead; at 100, it is three servers plus one lead. This is illustrative staffing for this scope, not a universal ratio.
| Scope | Before HST | Including 13% HST |
|---|---|---|
| 50 guests, furnished venue | $2,736.00 | $3,091.68 |
| 50 guests, guest tables/chairs/linens added | $3,242.00 | $3,663.46 |
| 100 guests, guest tables/chairs/linens added | $5,558.00 | $6,280.54 |
Understand the 50-person calculation
Food $1,400; servers $480; lead $300; chafing dishes $140; buffet tables $30; buffet linens $36; optional basic disposables $25; transport/collection allowance $150; coordination allowance $175. Total: $2,736 before HST.
Adding seven guest tables ($105), seven linens ($126), 50 chairs ($175), and increasing transport/collection by $100 produces $3,242 before HST. Removing the optional disposables saves $25 before tax. Setup and catering cleanup are within agreed crew hours, so the same work is not charged again.
Use the selected food menu, not a universal food rate
Chefry’s festive chicken buffet lists $29.95 per guest as a food reference. Replacing the example $28 menu makes the 50-person furnished-venue estimate $2,833.50 before HST, or $3,201.86 including HST. Menu minimums and final retail availability remain quote-confirmed.
The event calculator can carry a starting estimate into the quote form. Set food to zero when you need menu pricing; the resulting estimate explicitly excludes food. Tent requests remain additional and unpriced until reviewed.
Research and limitations
How this guide was prepared
Uses LunchLink’s October 22, 2026 owner-approved working service rates. Examples are itemized planning scenarios, not completed events, guaranteed packages or supplier cost quotes. Food references and service estimates are separated.
Important limits
- CAD amounts exclude HST unless stated.
- Six paid hours is an example, not a confirmed staffing minimum.
- Final menu, quantities, availability, access, transport and coordination are confirmed in a written quote.
- Tent and winter site costs need a separate site quote; no rented china, glassware or flatware sets are included.
