Direct answer
The short answer
An office holiday buffet needs a confirmed menu and guest count, a suitable serving area, hot/cold holding, utensils and labels, crew hours, venue access and cleanup responsibilities. Check what the office already supplies, then add only the tables, chairs, linens and equipment needed. Agree one written quote and event schedule before booking.
At a glance
Key takeaways
- Plan the service flow as carefully as the menu.
- Confirm which furniture and facilities the venue provides.
- Give setup, replenishment, clearing and collection a named owner.
Collect the event essentials
Record the actual event date, full venue address, company, guest count, meal time, service end and budget scope. Include speeches, agenda breaks and late arrivals. A quote request does not reserve a date.
- Guest total and dietary meal allocations within that total
- Preferred cuisines, buffet or reception format, drinks and desserts
- Arrival/setup, eating, clearing and collection windows
- Full event budget or a food-only budget clearly labelled
- Procurement contact, invoice or PO requirements and decision date
Walk the room before choosing rentals
Check room dimensions and guest flow, seating, buffet tables, linen sizes, loading access, elevators, stairs, parking and the onsite receiver. The kitchen confirms any power, water, refrigeration, prep or kitchen requirement for the selected menu.
Furniture quantities depend on table dimensions and the layout. Chafers depend on the dishes, pan sizes and service duration, not guest count alone. Confirm fuel, serving utensils, food labels and backup pans explicitly.
Assign each service responsibility
Staffed service should name who sets up, attends the buffet, replenishes, clears, handles leftovers and performs catering-area cleanup. Servers are priced by paid hours, including the agreed work before and after eating time.
Confirm equipment counts and collection, where rentals wait after the event, waste disposal, damage/return conditions, access charges and overtime. Catering cleanup is distinct from full-building cleaning. Do not add a duplicate cleanup fee for work already in the crew hours.
Make the menu work for everyone
Request complete dietary meals, not just a suitable main course. Confirm sauces, desserts, ingredients, labels, substitutions and cross-contact with the selected supplier. No universal allergen-free or certification claim is assumed.
Beverage stations, coffee/tea, water, soft drinks, ice, dessert and reception stations can be part of the same brief. Scope any alcohol service, AV, decor or site production separately and confirm the appropriate venue requirements.
Approve the final plan
Review food, quantities, staff roles and paid hours, rentals, delivery/collection, coordination, tax and the final total. Confirm payment, cancellation, final-count deadlines, substitutions and any overtime before accepting.
Keep the confirmed plan with a named event contact and reachable venue receiver. Use the corporate buffet page for service details and the holiday page for current festive menus; for shifts, retain a separate meal count and service window for each group.
Research and limitations
How this guide was prepared
Uses LunchLink’s October 22, 2026 owner-approved working service rates. Examples are itemized planning scenarios, not completed events, guaranteed packages or supplier cost quotes. Food references and service estimates are separated.
Important limits
- CAD amounts exclude HST unless stated.
- Six paid hours is an example, not a confirmed staffing minimum.
- Final menu, quantities, availability, access, transport and coordination are confirmed in a written quote.
- Tent and winter site costs need a separate site quote; no rented china, glassware or flatware sets are included.
